Creating New Workspaces Within NetDocuments Via Admin Console

NetDocuments enables users to organize their documents into workspaces, which are virtual folders that can be customized to meet the specific needs of a matter type, team, or department

As an administrator, you have the privilege of creating new workspaces within NetDocuments.

In this knowledge base article, we will guide you through the process of creating new workspaces in NetDocuments, step-by-step. We will cover all the necessary information and provide you with helpful tips to ensure that you can create workspaces efficiently and effectively. 

Logging In To NetDocuments

Open your preferred web browser

NetDocuments maintains several separate yet identical services located at different data centers - for the United States, United Kingdom, Germany, Canada, and Australia. Each service is accessed by different URLs. 

Type in the NetDocuments URL provided by your IT department* or access using the following URL:


Note: If your organisation uses single sign on (SSO) a direct link may be provided to access the system.

The login page appears as shown below:



Enter your username and password, then select Login.

Accessing The Admin Console

To access the admin console:

  1. Select your name in the upper-right corner of the screen.
  2. In the drop-down menu, hover over Admin.
  3. Select the name of your repository.

Select Profile Attributes

Select Profile Attributes from the left hand menu:




Note: Your exact configuration may include additional attributes such as ‘Document Types’ or ‘Internal Workspaces’. The steps below will be similar to add / edit these attributes.

Add New Client

To add a new Client click the attribute to bring up the Lookup table values:



Then click the Add client button to open the Add client pane:



Enter the following values:

Client key: A unique alpha-numeric reference for the new client*
Description: The name of the client (either organization or person name)

*Note: Typically this number will be allocated by the firms practice management, time and billing or finance system. NetDocuments does not automatically generate unique numbers unless using Pattern Builder.

Once you have completed the relevant values click the Add button. 

Return to the Profile attributes screen as described in Step 3 above.

Add New Matter

To add a new Matter click the attribute to bring up the Lookup table values:




Then click the Add matter button to open the Add matter pane:





Enter the following values:
  1. Client key: The unique alpha-numeric reference for the new client
  2. Matter key: A unique alpha-numeric reference for the new matter*
  3. Description: The name of the matter
  4. Type: This typically represents the type of legal work being performed (eg Litigation, Banking etc) and is often used to default configuration for each new workspace created.
*Note: Typically this number will be allocated by the firm's practice management, time and billing or finance system. If entering a reference manually consider entering an incremental number for each new matter, for example 1 (for the first matter), 2 (for the second matter).

Once you have completed the relevant values click the Add button. 

Access The Workspace

The above steps will have added details about the Client and Matter to NetDocuments, however it’s important to note that ‘the workspace does not exist until the first user accesses it’. 

This is important because in order to use other processes such as the NetDocuments Folder Import tool you will first need to navigate to the workspace using the main NetDocuments application in order for it to be available for use. 

The steps to navigate back to the main NetDocuments interface from the admin console is:
  1. Select your name in the upper-right corner of the screen.
  2. In the drop-down menu, select Home.
