How to Issue a Credit Note in Matters.Cloud

Introduction

Issuing a credit note in Matters.Cloud is a straightforward process that allows you to adjust or correct invoicing errors. Follow the steps below to create a credit note for any invoice within the Matters.Cloud platform.

Note: Matters.Cloud supports issuing full credit notes only, and any associated time or disbursements are returned to an unbillled state. In the case where a partial cancellation is required, a full credit note should be created and a new lower value invoice should be issued. Alternatively if local tax laws allow a write-off can be recorded for the differential amount.

Steps to Issue a Credit Note

Step 1: Navigate to the Invoices Section

  1. Log in to Matters.Cloud.

  2. Go to the Invoices Section:

    • From the main dashboard, locate the sidebar.
    • Click on Invoices to open the invoice screen.

Step 2: Access All Invoices

  1. Select All Invoices:
    • Click on the All Invoices option to view the list of invoices.
    • Set the filter to Invoiced to display all invoices that are in the invoiced status.

Step 3: Open the Relevant Invoice

  1. Select the Invoice:
    • Look through the list of invoices and find the invoice for which you need to issue a credit note.
    • Click on the Invoice Number to open the detailed view of the selected invoice.

Step 5: Create the Credit Note

  1. Initiate Credit Note Creation:

    • Once the invoice details are open, locate the Create Credit Note button as shown in the image below:

  1. Finalize the Credit Note:

    • Review the credit note date and date or supply

  1. Save and Send:

    • Once all details are correct, save the credit note.
    • You can then send it to the client or keep it for your records, as required.
